Google Appointment Scheduling - Instruction to Create an appointment schedule - Google Calendar Help
Before creating an appointment schedule be prepared to know how you want the following configured:
- Name of Schedule – Example Appointment with Dept, Group or you specifically
- Appointment duration – How long should each appointment last? 30 minutes?
- Set only certain times of the day where they can make appointments or allow the whole day as long as they don’t conflict with your calendar?
- Scheduling Window – Max time in advance that an appointment can be made, example, they can only book 30 days in advance.
- Scheduling Window – How much notice do you need before the appointment start? Example they can only book 3 hours before the start of the appointment.
- Buffer time – Do you need buffer time between meetings?
- Calendar to check availability – Do you only want it to check for conflicts with your calendar?
- Location – Do you want the meeting to default to In-Person, phone meeting or Google Meets
- Description – Do you want to add a note to describe the appointment?
- Form for requester to fill out – Do you want a form for the requester to fill out? Default is just First & Last Name and email address. Example, should the requester specify why they are meeting with you.
- Confirmation and reminders – Do you want additional reminders besides the standard confirmation email after booking and email reminder 1 day before the appointment?
- Besides your signature is there anywhere else the booking link needs to be updated?
You can create different Appointment Schedules to have various options and still have it check against your calendar or your team's calendar. For example, you might have a separate appointment schedule for internal appointments vs. external appointments.
